Under the general supervision of the Operations Manager, the Retirement Operations Coordinator performs administrative and analytical duties to support retirement services. This role ensures accurate benefit processing, compliance with state law, and outstanding customer service for members and employers.
Minimum Qualifications & Education
- Bachelor’s degree from a four‑year accredited college/university and/or five years of experience in a financial‑related role or with a defined benefit plan.
- Intermediate proficiency in Microsoft Word and Excel.
Preferred Qualifications
- Minimum of 2 years as an Operations Specialist at TRS strongly preferred.
- 1+ year of experience in retirement or benefits administration.
- Knowledge of basic supervisory methods and principles.
Additional Eligibility Requirements
- No additional certifications or special equipment required.
Essential Duties & Responsibilities
- Perform quality control review of work completed by Retirement Specialists.
- Audit member accounts for completeness and accuracy.
- Assist Specialists with interpreting policies, laws, and procedures.
- Handle escalated cases and complex inquiries; interpret laws and policies for members and staff.
- Process retroactive payments and calculate overpayments.
- Provide account guidance to external customers.
- Review ACH requests for accuracy and completeness.
- Retrieve and process daily ACS Activity Reports; update Accounting ACH reports.
- Work with the Accounting Department to resolve discrepancies.
- Validate retroactive benefit payment calculations, including tax details.
- Perform TRS auto‑deduction overpayment determinations.
- Identify and support implementation of process improvements.
- Collaborate with HR and Payroll vendors to resolve account issues.
- Maintain professional vendor relationships (TRS Employers, SHBP, financial institutions, etc.).
- Provide performance feedback to Retirement Specialists.
- Manage multiple reports and spreadsheets.
- Work overtime as needed.
- Perform other duties as assigned.
Specialized Duties & Responsibilities – Working After Retirement
- Conduct specialized quality control for:
- Employment of service and disability retirees, including independent contractors, for compliance with state law, IRS, and DOL regulations.
- Benefit discontinuance, reactivation, and recalculation.
- Membership account creation and restoration calculations.
- Retirement applications, benefit and cost calculations.
- Overpayment calculations and repayment arrangements.
- Banking transactions, account updates, and 1099R regenerations.
- Review data reported through internal audits and Departments of Audits and Labor.
- Deliver training sessions, group presentations, and individualized counseling.
- Correct and submit rounding issues to the Operations Manager.
- Process service and contribution adjustments for after‑tax and before‑tax contributions.
- Independently review and process retirement calculations, estimates, and payments.
- Audit creditable service and process modifications.
- Audit retiree employment data and determine overpayments; request contributions to reconcile accounts.
- Merge and restore accounts and update contributions and interest.
- Maintain professional relationships with agencies, vendors, and employers.
- Provide feedback to Retirement Specialists.
- Manage multiple reports and spreadsheets.
Knowledge, Skills, and Abilities
- Knowledge of TRS policies, retirement system laws, and regulations.
- Proficiency with MS Office Suite, especially Excel.
- Understanding of Generally Accepted Accounting Principles (GAAP).
- Strong problem‑solving and decision‑making skills.
